How to Password-Protect a PDF and Why You Should

Password protecting sensitive PDFs is a quick security measure. Learn when to protect your PDFs and how to do it correctly.

Why Protect a PDF?

PDFs containing sensitive information — such as tax returns, contracts, personal identification, or medical records — should be password-protected before sending via email or uploading to cloud storage.

A password prevents unauthorized individuals from opening or reading the file, even if they intercept it.

What Password Protection Does (and Does Not Do)

Password protection encrypts the file contents. Without the password, the PDF cannot be opened. However:

  • Password protection does not prevent someone from taking a screenshot if they have the password.
  • It does not prevent copying text if you only apply an "open" password without copy restrictions.

For highest security, use strong passwords (12+ characters, mixed case, numbers, symbols) and transmit the password through a separate channel (e.g., phone call, not the same email).

Removing a Password

If you know the password, you can remove it using the Unlock PDF tool. This is useful when you want to share an unprotected version of a document with a trusted party.

Important Note

FlowToPDF does not store your passwords. If you forget the password to a protected PDF, it cannot be recovered.
